CareerScout Privacy Policy

1. Who operates CareerScout

CareerScout is a free job-search plugin operated by InSight Consulting LLC. For privacy questions or requests, contact info@insightconsulting.biz.

2. Scope

This policy explains how InSight Consulting LLC handles information in CareerScout’s current ChatGPT plugin workflow and in related website and support inquiries. OpenAI’s handling of your ChatGPT conversation and uploaded files is governed separately by OpenAI’s policies and your account settings.

3. Information processed by CareerScout

CareerScout receives limited job-search criteria, such as target work, general location, commute radius, remote/hybrid/onsite preferences, minimum salary, acceptance of unknown salaries, maximum travel, employment type, management-role requirements, and excluded industries. It also receives candidate-job information, which may include job title, company, location, salary, travel requirements, description, application URL, source, and listing identifiers.

Search criteria may constitute personal information when linked to you. CareerScout’s tools do not require your name, email address, phone number, street address, or résumé document. Avoid placing unnecessary personal information in tool fields.

4. Résumés, accounts, and application storage

CareerScout does not create user accounts, store uploaded résumés, maintain persistent career profiles, or retain job-search evaluation requests in its application database. Résumés and career context remain within the user’s ChatGPT conversation. CareerScout processes limited job-search criteria and candidate-job information only for the duration needed to return evaluation results.

The current plugin does not accept a résumé file through its tool schema. If personal information is included in an otherwise supported text field, it may be processed as part of that request. Technical infrastructure logs are separate from the application database.

Legacy account, résumé, profile, and intake routes are disabled in the production API. Legacy personal test records have been deleted from the live application database. This does not promise immediate erasure of historical copies in provider backups.

5. Why we process information

CareerScout uses job criteria and candidate-job information to search its job catalog, evaluate listings against your preferences, and return results to ChatGPT. Its primary evaluation tool processes inputs in memory and does not send them through a separate OpenAI API request. Support correspondence is used to answer questions, troubleshoot issues, and respond to privacy requests.

7. Public job sources and employer applications

CareerScout may retrieve public listings from employer platforms such as Greenhouse, Lever, and Ashby. Retrieving those public listings does not require sending your résumé or user profile to those sources. If you follow an employer application link or submit information to an employer, that website’s terms and privacy practices apply.

8. Retention

Evaluation requests: Job-search evaluation inputs are processed during the request and are not retained in CareerScout’s application database as evaluation histories or user profiles.

Technical logs: Our hosting provider may temporarily retain technical request and security logs according to its standard retention practices and the applicable service plan. Railway’s log periods vary by plan. We do not promise that technical logs are absent or immediately erased when a request ends. Contact us for information about the currently applicable retention settings.

Support email: InSight Consulting LLC retains support correspondence for up to 12 months after the request is closed, then deletes it, unless a legal obligation requires longer retention. Deleted Gmail messages ordinarily remain in Trash for up to 30 days. Copies retained by provider backup, security, or administrator retention systems may follow their own retention cycles.

Backups: Historical database copies may remain until Supabase’s applicable backup or recovery retention window expires. Backup retention depends on the project’s service plan and recovery configuration. Deletion from the live database does not necessarily remove a historical backup immediately.

9. Analytics and cookies

The current CareerScout MCP service does not use a behavioral-analytics SDK, advertising tracker, or dedicated persistent user-profile or evaluation cache. This website package does not add an analytics script or advertising tracker. Hosting infrastructure and the ChatGPT platform may independently process technical information under their own practices.

10. Contact-form and support information

The website contact form prepares a message in your own email application. You must send that message to submit an inquiry. We receive only the information you choose to email, which can include your name, contact information, selected services, preferred date, and message. Do not send passwords, access tokens, government identifiers, or other unnecessary sensitive information.

11. Your requests and controls

You may request access, correction, or deletion of personal information controlled by InSight Consulting LLC by emailing info@insightconsulting.biz with the subject “CareerScout Privacy Request” or “CareerScout Data Deletion Request.” We may ask for reasonable information needed to locate the relevant correspondence or verify a request. We respond in accordance with applicable law.

The plugin does not ordinarily maintain a saved résumé, account, or career-profile record to delete. Support correspondence and any identifiable information we otherwise control are assessed separately. Technical logs and historical backups may be subject to provider retention requirements. Manage ChatGPT conversations and uploaded files through your OpenAI account; employer application records are managed by the employer or application platform.

12. Updates

We may update this policy when our service or data practices change. The effective date above identifies the current policy.
